Getting Started

Pool service management software helps pool cleaning and maintenance businesses manage their daily operations — including route planning, scheduling, technician dispatch, invoicing, and customer communication. Pool Founder is an all-in-one solution built specifically for pool service professionals, replacing spreadsheets, paper routes, and disconnected tools with a single platform.

Starting a pool cleaning business involves getting proper licensing and insurance, purchasing equipment (test kits, chemicals, nets, vacuums), setting your service area and pricing, and finding your first customers. Pool service software like Pool Founder helps from day one by organizing your customers, optimizing routes, and automating invoicing so you can focus on growth rather than paperwork.

Pool service companies typically use specialized field service management software designed for the pool industry. Pool Founder is built specifically for pool service businesses, offering route optimization, job scheduling, technician management, invoicing, water chemistry tracking, and a mobile app for technicians in the field — all in one platform.

Pool Founder offers four plans: Solo ($49/month for 1 technician), Team ($99/month for up to 3 technicians), Growth ($149/month for up to 10 technicians), and Enterprise (custom pricing for unlimited technicians). All plans include a 30-day free trial with no credit card required.

Yes! Pool Founder offers a generous 30-day free trial with full access to all features. No credit card is required to start. This gives you plenty of time to set up your business, import your existing customers, and see real results before committing.

No. Pool Founder is month-to-month with no long-term contracts. You can upgrade, downgrade, or cancel your plan at any time. We believe our software should earn your business every month.

Route Optimization & Scheduling

Pool Founder's route optimization considers geographic location, traffic patterns, time windows, job duration, and technician workload. Routes are automatically reordered to minimize drive time and maximize the number of pools serviced per day. Most companies see a 20–40% reduction in drive time after switching to Pool Founder.

With optimized routing, most technicians can service 15–25 pools per day depending on service type and drive distances. Pool Founder's route optimization helps maximize this number by minimizing windshield time between stops, so your team spends more time servicing pools and less time driving.

Yes. Pool Founder supports recurring maintenance schedules — weekly, biweekly, monthly, or custom intervals. Jobs automatically appear on your route calendar and can be assigned to specific technicians or crews. Recurring jobs can also include specific task checklists to ensure consistent service quality.

Yes. While our AI optimizes your routes automatically, you always have full manual control. Drag and drop stops to reorder them, move jobs between routes, and adjust schedules as needed. The system recalculates drive times in real-time as you make changes.

Pool Founder makes it easy to reschedule individual stops or entire routes. You can move jobs to different days, reassign them to other technicians, or skip visits with a single tap. Customers can optionally be notified of schedule changes automatically via email or text.

Technician Management & Mobile App

Pool Founder's field operations dashboard shows real-time technician locations, job completion status, route progress, and time tracking. Know exactly where your team is and how their day is going — all from your office or your own phone.

Yes. Our technician mobile app is available on both iOS (iPhone/iPad) and Android devices. It's designed specifically for outdoor use with high contrast, large tap targets, and an intuitive interface that works even with wet hands or gloves.

Yes. Technicians can view their routes, complete jobs, log chemicals, and add photos even without internet connectivity. All data syncs automatically when connectivity is restored, so there's no disruption to your team's workflow in areas with spotty coverage.

Absolutely. Technicians can capture before and after photos for each job, document equipment issues, and attach images to work orders. Photos are linked to the job record and can be shared with customers as part of their service report.

Pool Founder lets you create multiple routes and assign them to different technicians or crews. Each crew sees only their assigned route for the day, while you get a bird's-eye view of all operations from the dashboard. You can also transfer jobs between crews on the fly.

Billing, Invoicing & Payments

Pool Founder auto-generates invoices from completed jobs. Choose to invoice per-visit, weekly, or monthly. Invoices are sent via email with a secure online payment link, and customers can pay with credit card or ACH bank transfer.

Yes. Every invoice includes a secure online payment link. Customers can pay with credit cards or ACH bank transfers through Stripe, the industry's most trusted payment processor. No more chasing checks or handling cash.

Yes. Pool Founder syncs invoices, payments, and customer data with QuickBooks Online. Keep your accounting software up to date automatically without double-entry. Your bookkeeper will thank you.

When a technician completes a job and marks it done in the mobile app, Pool Founder can automatically generate and send an invoice to the customer. You can also batch-invoice at the end of the week or month — whatever works best for your business.

Pool Founder uses Stripe for payment processing at standard rates (2.9% + 30¢ per credit card transaction, with lower rates available for ACH bank transfers). There are no additional processing fees charged by Pool Founder on top of Stripe's rates.

Customer Management

Yes! We support bulk importing from spreadsheets (CSV/Excel) and our AI-powered import tool automatically maps your columns to the right fields. Most companies complete their import in under an hour. Our support team is also happy to help with migrations from other software.

Each customer profile in Pool Founder stores detailed information about their pool(s) including size, type (chlorine, saltwater, etc.), equipment, gate codes, access instructions, and service preferences. Technicians can access all of this from the mobile app while on-site.

Currently, customers receive detailed service reports and invoices via email after each visit. A full customer portal is coming soon where clients will be able to view their service history, see upcoming appointments, browse photos from recent visits, and manage their account online.

Pool Founder sends automatic notifications for upcoming service, completed visits, and invoices. You can also send custom messages to individual customers or groups. All communication is logged in the customer record for easy reference.

Water Chemistry & Chemical Tracking

Yes. Technicians log water chemistry readings (pH, free chlorine, combined chlorine, alkalinity, CYA, calcium hardness, TDS, and more) for every visit using the mobile app. Historical readings are stored and graphed so you can spot trends and ensure every pool stays balanced.

Pool Founder tracks which chemicals are used at each job and in what quantities. This helps with inventory management, cost tracking per pool, accurate billing for chemicals used, and ensures proper documentation for liability purposes.

Service reports are automatically generated from completed jobs, including water chemistry readings, chemicals applied, tasks completed, photos, and technician notes. Reports can be emailed to customers automatically after each visit or included with invoices.

Security & Technical

Yes. Pool Founder uses industry-standard encryption for data in transit and at rest, secure cloud hosting with redundant backups, and strict access controls. Your data is protected with the same security standards used by major financial institutions.

You can export all of your data at any time while your account is active. If you cancel your subscription, your data is retained for 30 days in case you change your mind. After that, it's permanently deleted per our privacy policy.

The office dashboard works on any modern web browser (Chrome, Safari, Firefox, Edge) on desktop, laptop, or tablet. The technician mobile app is available natively on iOS and Android for the best field experience.
